Presenter Guide

Shortcut & Login

  • Select Presenter shortcut from Desktop:
  • Under User type, select Windows
  • Username will be in the following format:
    • CAROLINA\cgoforth (CAROLINA\windows username)
    • Password is your network password used to login to the computer

Initial Setup

  • When logging in for the first time, you will see a welcome message

  • Click to collapse the welcome message
  • Click next to Inbox

  • Click next to CustomerService to view orders

  • This setup will be saved for future logins

Order Entry Process using Presenter

  • Under Inbox, you will see two columns labeled Available documents and Owned documents
    • Available documents – Documents in queue that need to be processed into JDE
    • Owned documents – Documents (orders) that you are responsible for keying
  • Types of documents:
    • OE – Order Entry
    • LC – Living Card
    • Rush – Orders that need to be expedited(deliver within 2 weeks)
    • Dated – A date is provided on the order, greater than 2 weeks out
    • OL – Orders over $1,000
    • Hold – Waiting to be deleted
    • SpecCards – Special Living Cards
    • STC – Science, Technology, Curriculum orders
    • EM - email orders (usually from quotations)
  • Click on the document under Customer Service to view / take ownership of it
  • You can also click on the arrow next to the document

  • The document will open in a new tab

  • To view multiple pages, you can click on the at the top of the document

  • Click to zoom in and out of a document

  • After completing and submitting the order in JDE, enter the following information in Presenter:
    • Order Number
    • Order Type (MUST BE IN ALL CAPS)
    • PO Number

  • Click Submit Single Order if you processed 1 order from that document
  • If you had to process more than 1 order (example – SO and SB), click DOWNLOAD  . Attach the document in presenter to the SO (submit single order) and then Attach Purchase Order to the other orders in JDE.
  • The document will then no longer be owned and should attach to the order in JDE within 24 hours.

Emailing a Document from Presenter

  • If you have a PO in Presenter where a new Bill-to/Ship-to is required before processing, you will need to email the document to Leslie Nicolaysen
  • She will contact the customer and reply with the Bill-to/Ship-to account numbers when completed.
  • Click the icon and a PDF copy will open up
  • Click on the , under Sign in

  • Default email application should already be on Microsoft Outlook
  • Attach a link should already be turned off (gray)
  • Click Next
  • A new email in outlook will open with the document attached
  • Enter leslie.nicolaysen@carolina.com in the To field
  • Enter the PO Number in the subject field and in the body of the text enter, “Request new Bill-to/Ship-to”
  • Click Signature to add your signature to the email, and finally Send

  • Click the red X button in upper right corner to close the document

How to Search for a Document (Linked to Order)

  • Click on the Search tab, next to the Home tab at the top
  • On the Search screen, use the Category Drop-down box to select what you are searching for. Customer PO will be the default
  • Best search methods are with the order number OR PO number
  • Enter order number if applicable in the From and To fields or enter the PO Number in the appropriate field (last field on search screen)
  • Click on the SEARCH button to obtain a copy of the order

  • On the results page, click on the PDF icon highlighted below to open the document/order for viewing

  • To close the document, click on red X in upper right corner

How to Search for a Document (Not Linked to Order)

  • Click on the Search tab, next to the Home tab at the top
  • On the Search screen, use the Category drop-down box to select Customer Service

  • Enter the PO number provided from the customer and click the Search button
  • On the Results screen, you will see who owns the document and the timestamp of when it came into Presenter

How to add a Note to a Document in Presenter

  • Open the document to view and click on the Notes button

  • On the View Notes screen, enter in the desired note in the Add Note Text Box and click the Add Note button

  • This will save the note, so it can be viewed on the view document screen

How to Forward a Document in Presenter

  • Forward a document any time you need to have the document deleted or put on special hold
  • On the view order screen, click on the drop-down box under Refresh Groups List and click on the desired forward code

  • Last, click on the Forward Button to forward the document back to the Inbox
