Replacement Only (Manual Entry)

*Use When Shipping to an Address Different than Original Order

******Verify in JDE that a replacement has not already been processed *****

Navigator

  • Select CBS Menu
  • Select “Sales Order”
  • Select “Credit / Debit Entry”
  • Select RMA – Replacement Only
  • Click

Enter the Following Information:

  • Branch Plant (1 defaults, check original order for BP 2,3,5,etc)
  • Customer Number
  • Ship To Number
  • Claim/PO Number – Customer PO Number from Original Sales Order

Enter The Following On Grid:

  • Last Disposition (SHP For Replacement Only)
  • Original Sales Order Number
  • Original SO Type
  • Original Invoice Number
  • Original Invoice Type
  • RMA Item Number (Item being replaced)
  • RMA Quantity
  • Return Reason Code
  • Tab off line
  • Write Down RMA Number
  • Click
  • Enter RMA Number
    • Remove Branch/Plant
    • Click
    • Click Row
    • Select “Sales Order”
    • Select “SO Entry”

On Manage Existing Order Screen

  • Open Replacement Order
  • Enter "Ordered by" Name
  • Click “Customer Info Is OK”
  • Verify Freight Flag is unchecked
  • Just like an SO Order, Key Ship Date (all 3 dates) or Requested Date only (the other dates will calculate)
  • Adjust quantity if necessary
  • Add Shipping Method (Mod Trn)
  • Description – (for SPEC items only)
  • Add header attachment (Click any grid field to activate attachments link)
    • Click
    • Click on
    • Key REP in “Template Name” field / click then
      • This is a replacement invoice
      • This references our order no. (Add original order number here)
      • On New Line - Key 3 letter code here (i.e. DOA)
      • Key a brief explanation here (comments will print for the customer to see)
      • Click
  • Click
    • In Print Message Field – Enter Reason Code (i.e. DOA) – This will default to all the lines
    • In 1st Shipping Instructions field - enter original sales order (Just the Number Only - No SO, WB, etc.)
  • Click
  • Click
  • Enter reason code
  • Click
  • Remember to Release from “RL” Hold
